What are the benefits of using MyMedia? MyMedia saves your leasing office valuable time and money! In addition to helping convert leads into signed leases, MyMedia helps you communicate with current residents keeping them happy in your apartment homes.

By providing professionally produced materials, MyMedia gives you the tools to communicate with prospects and residents in a professional and graphically enriched manner. MyMedia takes the work and expense out of your leasing office needing to write, design and produce digital brochures, flyers, articles, forms, notices, videos, newsletters and more. What's even better, MyMedia gives you an easy to use tool to distribute these valuable marketing materials to prospects and residents.

How do I subscribe to MyMedia? MyMedia is available on a monthly subscription basis to Apartments.com Platinum, Gold and Silver customers. To subscribe to MyMedia and start taking advantage of the valuable marketing tools MyMedia offers, contact your Apartments.com advertising consultant or call (888) 658-RENT (7368) and speak to the Apartments.com sales department.

When you subscribe to MyMedia, you will get the full suite of marketing tools with your subscription. One low monthly fee gives you access to a powerful marketing tool that would cost your leasing office thousands of dollars to create and manage.

How do I access MyMedia? Once you have subscribed to MyMedia, you can access the login screen from the Apartments.com Manager Center located in the "MyMedia" section of the "Tools for Advertisers" box.

To get to the Manager Center go to the Apartments.com home page (www.apartments.com) and click on the "Manager Center" tab at the top of the page or go direct at http://www.apartments.com/propertymall/index.aspx.

Be sure to bookmark the Apartments.com Manager Center to quickly and easily access MyMedia in the future.

How do I add additional users from my community/management company to MyMedia? To add additional users to your MyMedia subscription, contact Apartments.com Customer Support at support@apartments.com or (888) 658-7368.

How do I retrieve my login information and password? If you are currently a MyMedia subscriber and need to retrieve your login and password, contact Apartments.com Customer Support at support@apartments.com or (888) 658-7368.

If you are not currently a MyMedia subscriber, contact your Apartments.com advertising consultant or call (888) 658-RENT (7368) for subscription information.

What is the Leads Dashboard? The Leads Dashboard is where all of your lead information is stored for you to access and communicate with rental prospects and current residents. The Lead Dashboard is populated with all rental prospects who email you a lead from your Apartments.com ad as well as any leads or current residents from other sources that you manually enter (ie: other Internet Listing Services, walk-in traffic, print advertising, etc.). From the Leads Dashboard you can send any type of communication to one of your contacts including digital brochures, flyers, notices, articles, newsletters, videos and more.

How do leads appear on the Leads Dashboard? Because MyMedia is designed to seamlessly integrate with your Apartments.com advertising, all rental prospect that send your community an email lead from your Apartments.com ad will automatically appear in your Leads Dashboard. Leads from Apartments.com are noted with a green "a" in the "Lead Source" column of the Leads Dashboard. Manually entered leads are noted with a blue "m" in the "Lead Source" column of the Leads Dashboard.

What leads are automatically populated into the Leads Dashboard? Because MyMedia is designed to seamlessly integrate with your Apartments.com advertising, all rental prospects that send your community an email lead from your Apartments.com ad will automatically appear in your Leads Dashboard. Leads from Apartments.com are noted with a green "a" in the "Lead Source" column of the Leads Dashboard.

How do I manually enter a lead into the Leads Dashboard? To manually enter a lead into the Leads Dashboard, simply locate the "Enter Leads" box on the left hand side of your Leads Dashboard and type in the specific lead's information. Please note the required fields that must be completed in order to submit the manually entered lead to your Leads Dashboard.

All information that you enter from the "Enter Leads" box will be available to view when you hover over the "Lead Date" and "Lead Name" columns relating to that specific lead.

Use the "Enter Leads" box to also manually enter information for current residents you wish to send a MyMedia communication from your Media Library including flyers, notices, newsletters, articles, videos and more.

Manually entered leads are noted with a blue "m" in the "Lead Source" column of the Leads Dashboard.

Can I upload a list of leads to the Leads Dashboard? No. At this time, all leads are either automatically populated from Apartments.com or manually entered.

How do I tell the difference between an Apartments.com lead and a manually entered lead? Leads from Apartments.com are noted with a green "a" in the "Lead Source" column of the Leads Dashboard. Manually entered leads are noted with a blue "m" in the "Lead Source" column of the Leads Dashboard.

How long are leads stored in the Leads Dashboard? Both Apartments.com leads and manually entered leads are stored in the Leads Dashboard for sixty (60) days. To view leads older than sixty (60) days, go to the "See Historical Leads" link at the bottom of your leads dashboard.

How do I search for a specific lead that is stored in the Leads Dashboard? MyMedia allows you to search from all leads in your Leads Dashboard to find a specific lead. Simply enter the first and/or last name of the lead you would like to find into the "Search Leads" box and click the "Go" button. All leads that match the name you have entered will appear in your Leads Dashboard.

To return to all leads, click the "Show all" link at the top of your Leads Dashboard.

Why is a lead blocked out in gray from the Leads Dashboard? If a lead is blocked out in gray from your Leads Dashboard, it means that this lead no longer wishes to receive communications from your community and has unsubscribed from further communications. You will not be able to send this lead information from MyMedia or manually re-enter the lead information.

What does it mean that a lead has "unsubscribed"? Simply put, when a lead unsubscribes from MyMedia it means that they no longer wish to receive communications from your community. Leads may unsubscribe for a variety of reasons - they have already found an apartment, they do not wish to communicate with your community via email, they are interested in pursuing renting from another community, etc.

If a lead unsubscribes from MyMedia, you will no longer be able to email this lead from MyMedia. Due to CAN-SPAM laws, it is important that you remove this email address from other places where you may have saved this email address.

What actions can I take to communicate with leads from the Leads Dashboard? From the Leads Dashboard, you can send a variety of communications to your rental prospects and current residents. You can send:

Digital Brochures: Customized digital brochures can be created in seconds that include photos and floorplans from your Apartments.com ad allowing you to create targeted communications that specifically address the needs of your rental prospects

Media Library Communications: Professionally designed flyers, notices, articles, newsletters, videos customized with your community name, logo and contact information build relationships and offer a consistent community voice

How can I see activity relating to a specific lead? To view activity relating to a specific lead, click on the lead name in your Leads Dashboard. You will be taken to a "Recent Activity" page that displays all of the recent items you have sent this lead. From the "Recent Activity" page, you will also be able to send additional information to this lead by clicking the "Send Media" button.

Activity is stored in the "Recent Activity" page for each of your leads for two years.

What is a Digital Brochure? A Digital Brochure is a simple and effective way to follow up with rental prospects via email with important information about your community. Digital brochures include valuable information from your Apartments.com ad (ie: contact information, office hours, floorplans and rent rates, community description, photos, etc.) and can be customized with targeted information that is relevant to a renters specific need.

What are the benefits of sending a Digital Brochure? Sending Digital Brochures allow you to quickly and easily send rental prospects customized, targeted information about your community. You'll be able to follow up with leads faster utilizing professionally designed templates that give rental prospects an indepth view of your community right from their inbox. Target messages to a renter's specific questions about your community and get one step closer to a signed lease!

How do I send a Digital Brochure? Sending a Digital Brochure is easy! Simply click on the "Contact" or "Re-contact" button on a lead from your MyMedia Leads Dashboard, customize your Digital Brochure and click "Deliver Now!" In no time, a Digital Brochure will be delivered to your rental prospect.

How do I change text within a Digital Brochure? You can change text within your Digital Brochure to include specific details about your community relevant to a particular lead. Once you have selected your design template or customized your Digital Brochure from the "Media Sender", you can click the "Edit" button from your Digital Brochure's main body text. A free form text box will appear that allows you to select and edit existing text templates or write your own custom messages with text that you feel would best address the needs of a particular lead or your community.

You can easily save text that you customize for Digital Brochures for future use by clicking the "Save & Close" button from the text customization box.

When customizing text; think about the specific questions, features or amenities a rental lead is looking for to make your email as personal as possible (ie: If the lead is looking for a community that allows pets, use this space to tell the renter why their pet will love your community). Tailoring messages to a lead's rental requirements will only increase your chances of turning that lead into a lease!

How do I change images within a Digital Brochure? You can change images to personalize Digital Brochures making them relevant to a particular lead's rental needs, highlight community features/amenities, incorporate lifestyle attributes or add some personality with images relating to seasons/holidays . Once you have selected your design template or customized your Digital Brochure from the "Media Sender", you can click the "Edit" button within the images throughout the Digital Brochure to select new images. To select an image, simply click on the tab relevant to the type of image you want to use (Property, Lifestyle, Pets, Holidays), click on the image you would like to add and your Digital Brochure will be instantly updated with the new image.

When changing images think about the specific features or amenities a rental lead is looking for to make your email as personal as possible (ie: If the lead is looking for a community that allows pets, select images from the "Pets" tab to show that your community is pet-friendly.) Tailoring messages to a lead's rental requirements will only increase your chances of turning that lead into a lease!

Am I able to use photos from my Apartments.com ad in my Digital Brochures? Yes. Images from your Apartments.com ad are available through MyMedia to use in customizing Digital Brochures. To replace an image within a Digital Brochure with one from your Apartments.com ad, simply click the "Edit" button within the image, select the "Property" tab and choose your image. Your Digital Brochure will be instantly updated with the new image.

How do I know if a Digital Brochure has been sent? There are two ways to confirm that an email has been sent. From your Leads Dashboard, locate the "Lead Status" column and check the status associated with your lead. If a Digital Brochure has been sent, the status will say "Sent:[Date]".

Additionally, you can click the "Send History" button in the MyMedia main navigation. View the "Status & Details" column to see the type of media sent for your leads. If you do not see a lead's name in your "Send History" with the type of media you sent, a MyMedia communication was not sent.

How do I know if a Digital Brochure has been opened? In most cases we are able to track whether a Digital Brochure has been opened, however some email providers prevent us from gathering open information. To see if an email has been opened, go to your Leads Dashboard, locate the "Lead Status" column and check the status associated with your lead. If a Digital Brochure has been opened, the status will say "Opened:[Date]."

What is the email address associated with the Digital Brochures I send? The email address associated with the Digital Brochures you send is the email address you use to login to MyMedia. If you are unsure what this email is, contact Apartments.com Customer Support at support@apartments.com.

How does a renter reply to a Digital Brochure? Once a renter has received your Digital Brochure, they can reply directly to you at the email address associated with your MyMedia account. This is the email you use when you log into MyMedia. If you are unsure what this email is, contact Apartments.com Customer Support at support@apartments.com.

Can I create custom text for use in my Digital Brochures? Yes. Although Apartments.com has created text templates for you to quickly communicate with your leads, we also recommend that you create custom text templates that are relevant to your community and the specific needs of your rental prospects and/or current residents.
To create custom text, simply click the "Edit" button from your Digital Brochure's main body text. A free form text box will appear that allows you write your own custom messages. Simply select "Create New Custom Message" from the drop down menu and type your message in the text box.
When you are finished writing your custom message, enter a name for your message in the "Custom Message" box at the bottom of the text box and click "Save & Close". This custom text is now saved for you to use when communicating with your MyMedia leads. To use this custom text again, simply select the name from the drop down menu under and the selected text will be inserted into your Digital Brochure.

How do I save custom text that I have created for my Digital Brochures? When writing custom text for your Digital Brochure messages, be sure to save it for future use. To save, enter a name for your message in the "Custom Message" box at the bottom of the free form text box and click "Save & Close". This custom text is now saved for you to use when communicating with your MyMedia leads. To use this custom text again, simply select the name from the drop down menu under and the selected text will be inserted into your Digital Brochure.

Can I create custom designs for use in my Digital Brochures? One of the key benefits of MyMedia Digital Brochures is that they are fully customizable to reflect your community's personality and style. You may edit portions of the Digital Brochure templates that Apartments.com provides, or you can create your own Digital Brochure from scratch.

To create custom Digital Brochures, select the "Create a Design" tab from the "Media Sender". Simply select each of your preferences from the Digital Brochure customization categories (ie: "Change Your Message", "Change Layout", "Change Text Fields", etc.) and you will see your own custom Digital Brochure come to life.

Once you have the perfect Digital Brochure, click "Save this Design", name your custom Digital Brochure template and it will be saved for easy access to send again. Digital Brochures that you have created and saved are located in the "Select A Saved Design" section of the "Media Sender."

How do I save custom designs that I have created for my Digital Brochures? It is important to save Digital Brochure templates that you have created for quick and easy access the next time you want to communicate with a lead. Once you have the perfect Digital Brochure, click "Save this Design", name your custom Digital Brochure template and it will be saved for easy access to send again. Digital Brochures that you have created and saved are located in the "Select A Saved Design" section of the "Media Sender."

What types of communications are available in the Media Library? The MyMedia Library boasts a variety of communications that are professionally designed and ready for you to print, save, email or distribute to residents and prospects at a moment's notice.

Articles: Use Articles to give prospects and residents leasing and living tips before, during and after the move.

Digital Brochures: Send a professionally designed, customized Digital Brochures to your Internet, phone and walk in leads. Digital Brochures can also be used to communicate with current residents - whether you want to send info about a community feature or send a friendly reminder when it's time to renew.

Flyers: Use Flyers to send important information about your community to rental prospects and residents.

Forms & Notices: Send current residents Forms & Notices to easily communicate important information, events, policies and procedures.

Newsletters: A great retention tool, resident newsletters provide valuable information, hints and tips helping your residents get the most out of living in your community, making them more likely to renew.

Videos: A variety of professionally produced videos provide entertaining and educational ways for you to communicate with your leads and residents about important topics.

What are the benefits of using the materials in the Media Library? The MyMedia Library allows you to print, save, email or distribute send current residents and prospects important notices, articles or information with just a few clicks! Media Library communications are professionally designed and ready to personalize and send ensuring you get your messages out the door as quickly and easily as possible.

Using communications from the Media Library takes the work and expense out of your leasing office needing to write, design and produce digital brochures, flyers, articles, forms, notices, videos, newsletters and more so you can stick to what you do best - leasing apartment homes!

And, Media Library tools are written and designed to put a smile on renters' faces keeping them happy in your community and likely to renew their lease.

How do I send a Media Library communication? Sending a Media Library communication is easy! First, determine the communication you want to send. All communications are viewable as a PDF so you can read and review the content to ensure it accomplishes your communication goal. Once you have determined the exact communication you want to send, go to your Leads Dashboard and select your lead. Under the "Media Sender" choose the communication type from the drop down menu and a window will appear with the communications that are available to send. Select the specific communication and it is ready to send.

Remember, you can easily edit the text in your email adding a personal touch by tailoring it to your resident or prospect.

How do I customize flyers, articles, notices and newsletters? All Media Library communications are automatically customized with your community name, logo, address and phone number. Some Media Library communications have additional custom fields you can manually enter to further customize your communications (ie: "Late Rent Notice" allows you to enter the resident's name, apartment number, past due date and amount owed making this notice a fully customized communication).

Can I customize a video with my community information? At this time, the actual video itself is not customizable. The email that goes out to your lead/current resident is customizable with text and community information.

Can I upload my own templates into my Media Library? At this time, MyMedia does not support the ability to upload templates to the Media Library. MyMedia does provide an array of communication materials featuring multiple topics important to your community. Additionally, Apartments.com will regularly add new content to the Media Library. To suggest a content topic to add to the MyMedia Library, go to the "Media Library" and click "Submit Your Suggestion" from the "Want More" section of the left hand navigation.

How do I suggest content for a Media Library flyer, article, notice, newsletter or video? To suggest a content topic to add to the MyMedia Library, go to the "Media Library" and click "Submit Your Suggestion" from the "Want More" section of the left hand navigation.

How often are new communication materials uploaded to the Media Library? Apartments.com will regularly add new content to the Media Library. Check MyMedia often to see what's new and exciting!

How do I print flyers, articles, notices and newsletters? Printing flyers, articles, notices and newsletters is easy! Select the media you want to print from your Media Library, complete any customization information and click the print icon. A PDF of your flyer, article, form, notice or newsletter will open in a new window from which you can print as many copies as you would like!

How do I download flyers, articles, notices and newsletters? Saving flyers, articles, notices and newsletters is easy and a smart way to save time for the next time you want to print a Media Library communication. Select the media you want to save from your Media Library and click the "Save/Download" icon from the or click the "Download" link located next to the communication name. A PDF of your flyer, article, form, notice or newsletter will open in a new window from which you can save and have ready to use again and again.

What does the "Get Link" icon do? Want to quickly email or instant message a Media Library communication to a rental prospect or current resident? Click the "Get Link" icon to get a web link that you can send directly linking the recipient to the Media Library communication.
